The World Food Programme is the food assistance branch of the United Nations and the world's largest humanitarian organization addressing hunger and promoting food security.

JOB PURPOSE

To execute and implement necessary processes, protocols, and guidelines that facilitate the smooth and effective procurement services.

KEY RESPONSIBILITIES (not exhaustive)
  • Carry out administrative procurement tasks promptly and efficiently to aid Professional staff in acquiring goods and services for streamlined field operations.
  • Compile, prepare, and distribute documents to facilitate successful procurement programs and operational activities (e.g., release tenders, evaluate offers, and negotiate/award contracts) while ensuring adherence to standard procedures.
  • Assess, document, and prioritize purchasing requests by confirming receipt of all necessary documentation and availability of funds to enable the procurement of goods and services.
  • Coordinate and oversee the delivery of procurement requisitions, validate receipt and inspection of deliverables, and take necessary follow-up actions to ensure timely supply delivery to HQ and field operations.
  • Research, gather, and present information in standardized formats to support informed decision-making and maintain consistency in information for stakeholders.
  • Update, oversee, and manage relevant databases and records to ensure accurate and organized information is accessible to others, meeting reporting needs.
  • Collaborate internally to align procurement activities with broader programs and ensure a unified approach to fulfilling food assistance requirements.
  • Provide technical assistance and/or delegate tasks to other support staff to aid them in completing standard duties per agreed standards and deadlines.
  • Adhere to standard emergency preparedness protocols to enable swift response and deployment of food and essential resources to crisis-affected areas.
  • Manage all procurement processes for field offices to guarantee the timely provision of appropriate goods and services.
OTHER SPECIFIC JOB REQUIREMENTS
  • Show ability to collaborate with other functional units effectively.
  • Demonstrate a sound understanding of procurement systems.
  • Possess strong research and data analysis skills.
  • Capable of working in a multicultural environment.
  • Proficient in computer usage, including MS Excel skills.
STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in Procurement or related field. CIPS Level 2 certification (certificate in procurement & supplies). A degree in the relevant field is preferred.

Experience: Minimum of 5 years of progressive procurement experience for Goods and Services with specific vendor management exposure.

Language: Fluency in both verbal and written English.

Knowledge: Demonstrated understanding of UN Procurement Processes. Strong analytical skills and communication abilities.
