RESPONSIBILITIES

Role OverviewThe Chief of Staff at Athena acts as a pivotal support system for our executives, far surpassing the capabilities of a traditional executive assistant. This role involves strategic oversight, operational coordination, and a deep commitment to the effectiveness of our leadership. By managing both professional and personal tasks for executives, the Chief of Staff ensures a seamless integration of work-life balance and strategic business management, empowering executives to focus on high-level responsibilities. Duties & ResponsibilitiesStrategic Implementation: Assist in crafting and implementing organizational strategies to ensure alignment with corporate objectives.Systems & Structure: Develop robust project management frameworks to streamline operations and enhance productivity.Communication and Integration: Act as a linchpin for the leadership team, ensuring seamless communication across various departments and with external stakeholders.Administrative System Optimization: Tailor the administrative systems to suit the executive's style and the strategic needs of the business, ensuring efficient flow of information.Stakeholder Management: Cultivate and maintain strategic relationships essential for business success.The senior level Chief of Staff should serve as a strategic partner, taking work off the founder's plate and allowing them to focus on building the business while the Chief of Staff helps run the business behind them.Additional Responsibilities:CoS are typically heavily involved in developing and documenting processes, KPIs/OKRs, and reporting. CoS are typically heavily involved in dealing with investors, vendors, clients, or all of the above. CoS may also run aspects of a family office and assist with solving personal matters for clients (an example of this would be hiring a nanny or procuring a visa for a trip).CoS solves a wide variety of problems and is continuously monitoring for risks and then creating plans to address the risks with appropriate stakeholders.CoS may work in a variety of industries.CoS do not typically work a fixed schedule and may be called upon to support high profile clients outside normal business hours.Key StakeholdersClient VP of Ops COOXPSkillsSuperior strategic thinking and problem-solving capabilities. Advanced budgeting and financial management skills.Leadership skills needed for creating strategies, leading meetings, and planning new opportunitiesOrganization and planning skills crucial for multi-tasking while prioritizing and executing tasksAbility to diffuse conflicts with colleagues Ability to work independently with limited direction and oversight.Program management experience is required, not negotiable.CompetenciesAbility to act as an air traffic controller, integrating various work streams and facilitating efficient decision-making processes.Skilled in diplomatic communication and capable of acting as an honest broker and confidant.High emotional intelligence, capable of navigating complex political landscapes within the organization. Relevant Experience Required 8-10 years in a leadership support role, preferably as a Chief of Staff or in a senior administrative position within a fast-paced, dynamic environment. A police may be required once selected for the role.Educational and Certification RequirementsBachelor's degree in Business Administration, Management, or a related field; Master's degree preferred.
