Summary

The Finance Team in the Department of Finance and Support Services (DFSS) plays a crucial role in managing corporate, project, and financial services that form the foundation for the successful execution of IDLO's strategic plan. They handle various tasks including organizational planning, budgeting, treasury, payments, payroll, financial accounting, and reporting essential for the implementation of IDLO's programs and corporate activities, ensuring the maintenance of all accounts as per monitoring standards.

Reporting to the Finance & Administration Manager, the Finance & Administration Officer is responsible for delivering financial and administrative services to maintain high standards of work quality, accuracy, and consistency. Collaboration with the Kenya-based Procurement and Programs team is a key aspect of this role.


Key Responsibilities:
  • Program Financial Budgeting, Monitoring, and Reporting
  • Contribution to Program-specific and annual budgets
  • Processing payments and statutory deductions for consultants/experts
  • Providing procurement and logistical support to Programs' activities
  • Organizational-Related Finance and Accounting
  • Execution of IDLO financial policies, systems, and procedures
  • Monthly cash replenishment and office petty cash management
  • Preparing financial statements and forecasts
  • Facilitating internal and external audits
  • Liaising with IDLO bankers and managing assets register
  • Sub-Grants Monitoring
  • Supporting sub-granting processes and oversight
  • Maintaining sub-grant tracking and reporting systems
  • Reviewing sub-grant monitoring reports and proposing recommendations
  • Office Administration
  • Ensuring smooth day-to-day running of the Kenya office
  • Managing logistics, communication, and contracting with service providers
  • Establishing and maintaining a suppliers' database
  • Enforcing IDLO logistics, travel, and security procedures

Job Requirements

  • Academic Qualifications:
  • University degree in Finance, Commerce, or Accounting from a recognized university in Kenya
  • Professional accountancy qualification and member of ICPAK
  • Work Experience:
  • Minimum five years of relevant experience in financial management and administration
  • Experience with international organizations is advantageous
  • Knowledge, Skills, And Competencies:
  • Proficiency in Enterprise Resource Planning (ERP) systems
  • Understanding of International Public Sector Accounting Standards (IPSAS)
  • Experience with spreadsheets, databases, and word processing software
  • Proven ability in donor budgeting and reporting
  • Strong interpersonal, organizational, and attention to detail skills
  • Ability to work under pressure, with flexibility and a proactive attitude
