About Our Client:

Our client is a leading property management company that provides full-service management of residential and commercial properties. To maintain the high standards of upkeep and tenant satisfaction, they are looking to hire a reliable and technically skilled Property Maintenance Officer to manage day-to-day repairs, inspections, and general maintenance operations.

Job Purpose:

The Property Maintenance Officer is responsible for ensuring all properties are safe, functional, and well-maintained. This includes handling routine repairs, managing service providers, reading utilities, and overseeing health and safety compliance. The ideal candidate will have strong technical skills and a proactive approach to maintenance issues.

Key Responsibilities:

Routine Maintenance & Repairs:

  • Conduct or oversee minor repairs including plumbing, electrical, and carpentry work.
  • Respond promptly to maintenance requests from tenants or management.
  • Ensure repair work is completed to acceptable standards and documented properly.

Property Inspections:

  • Perform regular inspections to identify any repair or safety issues across all properties.
  • Prepare inspection reports with clear recommendations and timelines for corrective action.
  • Flag urgent concerns to the Property Manager for immediate resolution.

Vendor & Contractor Management:

  • Liaise with service providers (e.g., electricians, plumbers, cleaners) and supervise their work.
  • Ensure tasks are completed professionally and within the agreed time and cost.
  • Maintain a contact list of reliable contractors and suppliers.

Utilities Management:

  • Read water and electricity meters monthly for all occupied units.
  • Prepare utility usage records and charge tenants accordingly.
  • Share bills promptly with tenants and follow up on unpaid utility accounts.

Cleaning Materials Management:

  • Engage with caretakers to assess cleaning material needs for each property.
  • Ensure adequate and timely distribution of cleaning supplies.
  • Monitor proper use of materials to minimize waste and ensure cleanliness.

Procurement and Inventory Support:

  • Raise requisitions for maintenance supplies or cleaning materials from the finance department.
  • Track stock levels of tools, materials, and spares and request replenishments in advance.
  • Ensure purchases are recorded and receipts submitted.

Complaint Resolution and Follow-Up:

  • Monitor the resolution of complaints shared by tenants or field staff.
  • Follow up on open issues and confirm completion with relevant parties.
  • Update the complaint log and notify tenants or caretakers once resolved.

Preventive Maintenance:

  • Create and implement preventive maintenance schedules (e.g., servicing of pumps, wiring).
  • Plan regular maintenance checks to reduce emergency breakdowns.
  • Ensure key systems are maintained to reduce long-term repair costs.

Record Keeping and Reporting:

  • Maintain accurate logs of maintenance requests, completed works, and costs incurred.
  • Share weekly and monthly reports with the Line Manager.
  • File records of vendor work orders, inspection checklists, and utility readings.

Health and Safety Compliance:

  • Ensure that maintenance activities meet safety standards and legal requirements.
  • Address hazards immediately and enforce safety procedures on-site.
  • Keep all safety equipment and signage updated and in good condition.

Emergency Response:

  • Be on call to handle emergencies like water leaks, power outages, and gate malfunctions.
  • Act quickly and coordinate with the right team to contain emergencies.
  • Document all emergency response actions for future reference.

Qualifications and Experience:

  • A Diploma or Certificate in Building Maintenance, Electrical, Plumbing, or a related field.
  • Minimum 2 years of hands-on experience in property maintenance or facilities management.
  • Proficient in repairs including plumbing, electrical, and minor carpentry.
  • A valid driving license or motorbike riding ability is an added advantage.
  • Basic computer and reporting skills are desirable.

  • Ability to work independently with minimal supervision.
  • Strong communication and interpersonal skills to deal with tenants, caretakers, and contractors.
