Introduction
Aga Khan University Hospital, Nairobi is a private not-for-profit teaching hospital that provides tertiary and secondary level healthcare services. It is the first hospital in East Africa to be accredited by the Joint Commission International from the USA. The University Hospital has been providing high quality care for the people of East Africa and beyond for over 60 years.
The incumbent will Provide effective and efficient full range administrative and secretarial support to the department. Assist in calendar and meeting scheduling for the department and making sure all catering functions have been booked and serviced accordingly while maintaining updated departmental documents.
Responsibilities:
Ensuring the smooth and efficient operation of the department by managing administrative tasks
Maintain Departmental personnel files as per the SQEDaily catering functions booking, updating, distributing summaries to Kitchen and functions office and making follow up.Meal voucher ordering for staff cafeteria and Java useMaintain float and organize for Reimbursement keeping reports on the sameSupporting staff in administrative issues
General office administration and documentation and record keeping.Departmental and Interdepartmental communication both Verbal and written as needed.Evaluating KPI, Goals, and objectives for the departmentPreparation of Monthly meal cards for issue to respective departments and keeping records of the same. Tabulating monthly allowance reports for cooks for Managers approval.Tabulating monthly functions reports for both internal and outsourcedCoordinates all Outsourced functions.Tabulating Monthly Sick off reports for cooks and the leadership team.Manages the Manager calendar and ensures all reports from the supervisors are handed over on time in the right format.Distributing and follow-up on documents for signatures Assist in audit preparation and documentation (proper record keeping)Any other duty as may be assigned by the supervisor or designeeRequirements:
Certificate in Food and Beverage Service\ Business Management, Secretarial studies will be an added advantageShould Computer Literate with a minimum of 2 years working experience in the food service industry
Ability to express verbally and in writing in a clear manner.
Excellent customer service skills
