PROCUREMENT INTERN

JOB SUMMARY

One of our clients based in Nairobi is seeking to onboard a Procurement Intern for a 3 months period. The Procurement Intern will be responsible for assisting in the preparation of purchase orders, evaluating suppliers, and engaging in contract negotiation. S/he will also conduct procurement-related research and analysis as may be guided and required from time to time. Additional daily tasks will include maintaining accurate records and supporting the procurement team in various administrative duties. These responsibilities aim to provide the successful Intern with a comprehensive understanding of the end-to-end procurement function, while supporting the daily operations of the department.

DUTIES & RESPONSIBILITIES

Reporting to the Chief Operations Officer, the duties and responsibilities of the Procurement Intern will include but not be limited to;

  • Administrative Procurement Support Services:
    Assist in drafting bidding documents, evaluation reports, and contract award submissions, ensuring consistency in format and content. Process invoices for goods and services, monitor expenditures, and handle incoming communication and procurement requests
  • Processing Procurement Transactions Support:
    Prepare purchase orders, contracts, or their amendments, and publish procurement advertisements and awards
  • Supplier Evaluation and Contract Negotiation Support
    : Sit in and assist with supplier evaluation and participate in contract negotiations to ensure favorable terms and conditions
  • Asset Management Support:
    Assist with asset listing, verification, tagging, and updating asset details, as well as supporting the disposal of assets process
  • Analytical Tasks:
    Perform simple analyses related to micro-purchases and prepare reports, tables, and charts to provide statistics on procurement volume and activities
  • Client Services and Stakeholder Management:
    Work with clients to exchange information on procurement processes and transactions, and provide standardized services, guidance, and information to staff regarding the procurement process.
  • Knowledge Building and Sharing:
    Contribute to knowledge management by undertaking routine follow-up actions on procurement quality assurance issues and supporting the organization and delivery of training initiatives on procurement
  • On-the-Job Learning:
    Be open to being guided through the procurement process, including preparing tender requests, evaluation documents, and issuing purchase orders, and participate in relevant procurement meetings as may be applicable to support our continuous learning and development in the procurement field.
  • Any other duties that may be assigned to you by your line manager aligned to the procurement process from time to time.

EDUCATION SKILLS & COMPETENCIES DESIRED

  • Recently completed a Bachelor's Degree in Supply Chain Management or a related field
  • Knowledge of Purchase Orders and Procurement
  • Skills in Supplier Evaluation and Contract Negotiation
  • Strong Analytical Skills
  • Ability to work independently and in a team environment
  • Understanding of procurement processes in a business setting
  • Demonstrated strong oral and written communication skills
  • Ability to build good working relationships
  • High level of integrity, confidentiality, trust and dependability with a strong sense of urgency
  • Results-oriented, entrepreneurial, self-motivated, and a self-starter who is flexible and adaptable, with the ability to work in a fast-paced, high-demand environment.
