Senior Associate - Operations
Reports to: COO or Managing Partner (based on operational alignment)
Job Summary
Our client an auditing firm seeks to hire for the role of a senior Associate- Operations. The candidate will play a critical role in supporting the firm's growth strategy through effective internal and external communication, proposal development, digital presence management, and internal coordination. This position combines high-level operational support with business development activities, executive assistance, and staff welfare initiatives to ensure smooth organizational functioning and business growth.
Key Responsibilities
External Communication
Serve as the primary point of contact for incoming client calls and inquiries, ensuring responsive and professional communication
Coordinate and liaise with the social media team to ensure the firm's website content and digital presence remain up-to-date, informative, and brand-aligned, while following up on content updates, client engagement activities, and digital marketing initiatives to ensure timely execution
Internal Communication
Coordinate internal communication efforts, acting as a liaison to ensure effective information flow between teams and management
- Maintain open lines of communication to support team members and facilitate the smooth handling of operational queries
- Represent the Managing Partner in meetings and engagements when required, record minutes, and follow up on actions
Draft, review, and respond to emails and correspondence on behalf of senior leadership
Business Development
Write, edit, and submit high quality proposals tailored to the needs of prospective clients, collaborating with relevant departments to ensure accuracy and alignment with firm's objectives
- Prepare and send blind profiles and other documentation to potential clients, following up as needed to advance business development efforts
- Assist in preparing pitch materials and client presentations
Track and follow up on business development opportunities
Staff Welfare Support
Act as a point of contact for staff welfare concerns, communicating employees' needs to the appropriate departments and assisting in initiatives to support staff well-being
Facilitate staff engagement efforts to create a positive and supportive workplace environment
Administrative & Operational Support
Provide comprehensive administrative support for operations and firm management
- Manage calendars, travel arrangements, and daily priorities for senior leadership
- Prepare reports, briefs, and presentations for meetings and board sessions
- Handle sensitive information with confidentiality and professionalism
- Assist with client file management and documentation
Qualifications & Skills
Required Qualifications
- Bachelor's degree in Business, Management, or related field
- 5+ years of experience supporting senior executives, preferably in professional services
- Experience in administrative operations
- CPS (Certified Public Secretary) certification would be an added advantage
- Strong written and verbal communication skills
- Proficiency in website management, social media, and digital content creation
- Excellent organizational and multitasking skills with the ability to work independently and as part of a team

- Proposal writing and business development experience preferred
Technical Requirements
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with digital collaboration tools and project management platforms
- Familiarity with social media platforms and digital marketing tools
