Our Client is transforming Africa's agricultural supply chain by connecting buyers, suppliers, and farmers to create a seamless and efficient marketplace. They are expanding and are looking for a passionate and results-driven Operations Associate to join their growing team in Kenya.

Job Description

The Operations Associate will play a key support role in the execution and improvement of operational processes at the organization. Working under the guidance of the Senior Operations Associate, the ideal candidate will collaborate with cross-functional teams including field, product, and sales to ensure smooth daily operations, partner onboarding, data tracking, and timely execution of internal processes. This is a great opportunity for someone eager to gain hands-on experience in operations within a fast-paced agritech environment.

Key Duties and Responsibilities

Your key duties and responsibilities may include the below:

1. Operational Support & Coordination

  • Provide daily operational support across teams, including logistics, field team coordination, and supplier onboarding to ensure smooth execution.
  • Onboarding new hires to internal structures and systems.
  • Maintain accurate records of operational processes, including tracking leads, partnership statuses, order fulfillment, and logistical updates.
  • Coordinate with internal and external stakeholders to ensure timely processing and follow-ups of all operational activities.

  • Customer and Partner Engagement

  • Manage communication between buyers and suppliers via physical visits, email, phone calls, and follow-ups to ensure successful partnerships.

  • Identify, connect and manage relationships with third-party partners towards operational excellence and system success.
  • Support the resolution of customer-related issues, including order delays, product quality
  • concerns, or service disruptions, and escalate as necessary.
  • Foster strong, professional relationships with key partners, ensuring timely response and highquality service.

  • Data Entry and Reporting

  • Collect, organize, and enter operational and sales data to support decision-making processes.

  • Prepare weekly and monthly performance reports to track operational efficiency, sales metrics, and business trends.
  • Assist in the analysis of data to identify operational improvements or areas for growth.
  • Sync with the Finance team to ensure alignment to budget and payment timelines.

  • Process Improvement

  • Actively participate in brainstorming and identifying process improvements to streamline daily operations and eliminate inefficiencies.

  • Flag operational challenges or bottlenecks and propose actionable solutions for enhanced efficiency.
  • Collaborate with team members to implement process changes and track their success

  • Product Feedback & Market Research

  • Gather customer and partner feedback on product offerings to provide actionable insights for the Product and Engineering teams.

  • Support market research tasks, including tracking trends, user preferences, and competitive analysis to inform product development and operational strategies.

Other Duties

  • Undertake other assignments as delegated by the Senior Operations Associate or VP Operations

Working Relationships

  • Internal: Collaborate with the field team, sales, logistics, and product teams to align operational goals.
  • External: Regular interaction with partners, suppliers, and customers to ensure smooth communication and timely resolution of issues.

Qualifications

1. Educational Background:


• A bachelor's degree in business management, Operations, Technology, or a related field.

2. Experience:


• 1-2 years of experience in operations, business support, or customer engagement roles.


• Experience in agri-tech, logistics, or FMCG (Fast-Moving Consumer Goods) industries is an added advantage.

3. Skills:


• Strong organizational and multitasking skills, with a keen eye for detail.


• Proficiency in MS Excel for data management and reporting.


• Able to create actionable systems and processes from scratch


• Familiarity with CRM tools is a plus.


• Ability to take initiative to solve problems at hand.


• Excellent written and verbal communication skills to interact effectively with internal teams, partners, and customers.


• Ability to prioritize tasks in a fast-paced environment and demonstrate a proactive, adaptable, and collaborative approach.

• Data Analysis & Reporting: Skill in organizing and interpreting data to generate reports and insights for decision-making.


• Software and Tools: Trello, Microsoft 365, HRIS tools, CRM, Automation tools like Zapier or , Microsoft teams, , MailChimp.
