JOB TITLE:

Business Support Assistant

TYPE OF CONTRACT: SSA

UNIT/DIVISION:Management Services - RBN

DUTY STATION (City, Country): Nairobi, Kenya

DURATION: 11 Months

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The Administration Unit in the RBN supports the delivery of quality, customer-focused, value for money administrative services that enable staff in country/location operations to deliver food assistance to beneficiaries, in line with WFP strategy.

ACCOUNTABILITIES/RESPONSIBILITIES:
  • Follow up with the cleaning staff that the cleaning of the office is done daily e.g., general cleaning of the facilities i.e. offices etc.
  • Ensure that all Photocopiers within the RBN office space are loaded with paper when the levels are low and ensure that any malfunctioning is reported to the TEC support team.
  • Support the RBN Protocol focal point with the collection of Protocol documents from UNON Host Country when called upon.
  • Assist the HR team with meeting guests and new staff at the UNON main entrance and showing them to the office.
  • Support the HR, Management, and Admin teams with the delivery of documents etc.
  • Ensure that the conference rooms are neatly arranged and clean at all times.
  • Ensure the outdoor garden furniture around Block V and the pods is always neatly arranged and clean.
  • Assist with getting approval of exit passes from UNDSS for items/assets leaving the UNON Compound for official purposes.
  • Check mail at FAO and KECO and ensure that all mail of staff members is recorded and distributed accordingly.
  • Regularly check that all printers are in good working condition and that the ink levels are sufficient.
  • Check all the Water dispensers and ensure that they are refilled immediately after the water runs out.
  • Ensure that hygiene items such as sanitizers are replenished in all washing rooms and corridors.
  • Perform any other related duties as may be assigned from time to time.
DELIVERABLES AT THE END OF THE CONTRACT:

Demonstrate excellent communication and interpersonal skills when liaising with internal and external clients.

Ensure that all administration and documentation requirements are initiated and completed in a professional and timely manner.

Ensure that assigned tasks are performed accurately and within established time frames.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

Secondary education or equivalent commercial school/minimum

Experience:

Minimum relevant work experience after high school with 2 years

Knowledge & Skills:

Time Management, Customer Service, Organization Skills, Communication Skills, Problem Solving Skills.

Languages:

Fluency in the language of the duty station - English (verbal & written)
