JOB DESCRIPTION

Position: Administrative & Human Recourse Assistant

Location: Magnum Engineers Ltd

Job Purpose

To provide temporary support in HR and Administration. The reliever will ensure smooth continuity of operations, accurate documentation, communication, and timely coordination across departments.

Admin Roles & Responsibilities

Ø Preparing and issuing invoices and maintaining proper records.

Ø Creating, distributing, and filing job cards for ongoing works

Ø Tracking job progress and updating relevant stakeholders.

Ø Preparing and sending quotations as guided

Ø Assisting in purchasing materials, preparing LPOs, and following up with suppliers.

Ø Drafting, sending, and responding to official emails.

Ø Handling phone calls, taking messages, and following up on work-related issues.

Ø Preparing contract documents and ensuring files are updated.

HR & Employee Support

Ø Conducting new employee onboarding and orientation.

Ø Receiving leave requests, updating leave records, and filing.

Ø Handling employee grievances and disciplinary issues.

Ø Issuing contracts and tracking those due for renewal.

Ø Managing Health & Safety (PPE) by issuing PPEs, maintaining PPE registers, and ensuring compliance.

Ø Handling accidents and incidents reports

Ø Tracking attendance by monitoring daily attendance, updating registers, for workshop and sites.
