PROJECT BACKGROUND
The EASETRADE Project supports young women in Kenya's rural horticultural value chains by strengthening entrepreneurship, digital literacy, and access to trade finance.
To document this journey and its transformative impact, IIRR seeks the services of a qualified consultant or firm to develop a comprehensive record of the project's implementation, achievements, and lessons learned.
Specifically, the consultant or firm will:
  • Develop a Participant Journey Book that captures the implementation process, human-interest stories, and impact narratives.
  • Produce short videos, photographs, and infographics highlighting beneficiary stories across Kiambu, Nakuru, Nyeri, and Meru counties.
  • Develop one high-quality summary video capturing the overall EASETRADE journey and project impact.
OBJECTIVES OF THE CONSULTANCY
The consultancy aims to:
  1. Produce a Participant Journey Book (print and digital versions) with an engaging title and professional design.
  2. Capture and deliver multimedia content, including photos, one high-quality project summary video, 3–5-minute short videos, and infographics.
  3. Provide publication-ready, high-quality outputs suitable for dissemination through digital and print media.
SCOPE OF WORK
The consultant or firm will be responsible for:
  • Reviewing relevant project documents and background materials.
  • Conducting and recording interviews with beneficiaries, IIRR staff, partners, and donors.
  • Developing written, visual, and multimedia content that effectively communicates impact stories.
  • Designing and finalizing all deliverables in print-ready and digital formats aligned with IIRR's branding standards.
KEY DELIVERABLES
  1. Inception Report – Methodology, work plan, and story selection criteria.
  2. Draft Participant Journey Book – Stories, photos, and draft layout.
  3. Final Participant Journey Book – Professionally edited, designed, and print-ready.
  4. Multimedia Outputs – One high-quality project summary video, photos, short videos (3–5 minutes each), and infographics.
TIMELINE
The consultancy will run from October 2025 to August 2026 according to the following schedule:
  • Inception and Research: October–November 2025
  • First Batch Submission: Short videos (3–5 minutes) – November 2025
  • Second Batch Submission: Additional short videos and one project summary video – June 2026
  • Final Participant Journey Book: Edited and designed – End of project
  • Final Deliverables: All outputs completed and approved – August 2026
  • Completion Date: 12 August 2026
ROLES AND RESPONSIBILITIES
  • IIRR Africa Regional Office: Provide data, access, logistical support, and overall guidance.
  • Consultant/Firm: Lead the documentation, design, and multimedia production process.
  • Review Committee: Provide technical feedback and validate outputs prior to publication.
CONSULTANT QUALIFICATIONS
  • Proven experience in audio-visual documentation, visual storytelling, and branding/visibility.
  • Strong skills in research, writing, photography, videography, and graphic design.
  • Experience working in agribusiness, value chains, or social impact sectors is desirable.
  • Demonstrated ability to deliver high-quality, publication-ready outputs within agreed timelines.
MANAGEMENT AND REPORTING
The consultant or firm will report to the Project Manager, IIRR Africa Regional Office, and work closely with the Communications Team. Final approval of outputs will be made by the Africa Regional Director.

  1. Technical Proposal outlining the proposed approach, methodology, timeline, and work plan.
  2. Financial Proposal with an itemized budget in KES or USD.
  3. CVs of key personnel indicating relevant experience.
  4. Portfolio showcasing similar documentation or multimedia work.

  2. Financial Proposal

    • Provide an itemized budget in KES or USD, including professional fees, travel, and production costs.

    • Maximum length: 3 pages.

  3. CVs of Key Personnel

    • Submit concise CVs of all team members involved in the assignment, highlighting relevant experience.

    • Each CV should not exceed 2 pages.

    • File format: PDF, labeled as [Name]

  4. Portfolio of Previous Work

    • Include up to 5 samples of similar documentation or multimedia projects (e.g., reports, videos, infographics).

    • If files are large, please provide links (Google Drive, Vimeo, or YouTube).

    • File format: PDF or shared online folder, labeled as [FirmName]_Portfolio

EVALUATION CRITERIA
Proposals will be evaluated based on:
  • Quality and relevance of past documentation work.
  • Creativity and effectiveness in storytelling.
  • Technical capacity in multimedia production.
  • Cost-effectiveness and clarity of the financial proposal.
  • Timeliness and responsiveness.

All deliverables and outputs will remain the property of IIRR Africa Regional Office. The consultant or firm must maintain strict confidentiality, accuracy, and ethical handling of all data and materials collected.
