SONGA Mobility is a pioneering electric mobility company driving innovation in rural transportation across Africa. Our mission is to develop sustainable, efficient, and cost-effective electric mobility solutions, including electric trikes (eTrikes), charging infrastructure (AgrEHubs), and IoT-based fleet management.
As we expand our operations, we are seeking a Part-Time Executive Assistant with fluency in Japanese and English to support executive scheduling, logistics, communication, and stakeholder management. This role will be instrumental in liaising with Japanese stakeholders, including foundations, partners, and government agencies supporting SONGA Mobility.
Key Responsibilities- Executive Support & Scheduling:
Manage the daily scheduling, appointments, and calendar of senior executives.
Coordinate meetings, travel plans, and logistics for business engagements.
Ensure efficient time management by prioritizing key tasks and commitments.
- Japanese Stakeholder Liaison:
Act as the primary point of contact for Japanese stakeholders, including foundations, business partners, and government agencies.
Facilitate clear communication between Japanese and Kenyan teams, ensuring smooth collaboration.
Assist in preparing reports, presentations, and correspondence in Japanese and English.
- Logistics & Administrative Support:
Organize travel arrangements, accommodations, and event coordination for visiting Japanese delegations and executives.
Support logistics related to business meetings, networking events, and international collaborations.
Ensure that all documentation and communication follow Japanese business etiquette and protocols.
- Translation & Interpretation:
Provide real-time translation during meetings (Japanese-English and vice versa).
Translate business documents, emails, presentations, and reports to ensure seamless cross-border communication.
- General Administrative Duties:
Maintain confidentiality of sensitive company information.
Handle expense reporting and financial reconciliations related to executive travel and meetings.
Support special projects and strategic initiatives as required.
Required:
- Fluent in Japanese & English (both written and spoken).
- Proven experience (2+ years) in executive assistance, administrative support, or international business coordination.
- Strong organizational and time management skills, with attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience in business correspondence, meeting coordination, and stakeholder communication.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and online scheduling tools.
- Familiarity with Japanese business etiquette and communication protocols.
- Prior experience working in mobility, sustainability, or technology-related industries.
- Knowledge of Kenyan and Japanese business cultures.
- Background in logistics, supply chain, or corporate travel management.
