Payroll & Compliance Coordinator

Location: On-site Schedule: 8:00 AM – 5:00 PM MST

Employment Type: Full-time

We are seeking a
Payroll & Compliance Coordinator
to manage payroll through QuickBooks, maintain regulatory compliance, and provide administrative support as needed.

Role Overview

This position combines payroll management, compliance tracking, and administrative tasks. You will process payroll and commissions, ensure licensing and reporting requirements are met, and assist with general office operations.

Key Responsibilities

Payroll (QuickBooks)

  • Manage payroll for employees and loan officers using QuickBooks Online Payroll.
  • Process W-2 and 1099 payments, commissions, and draws.
  • Reconcile payroll accounts and prepare reports for management.
  • Maintain accurate employee and contractor tax records.
  • Prepare and file quarterly and year-end payroll tax forms (in coordination with CPA).

Compliance

  • Track loan officer licenses, NMLS renewals, and continuing education deadlines.
  • Maintain compliance logs and supporting documentation for audits.
  • Monitor RESPA, TILA, and state-specific regulations for updates.
  • Assist with policy and procedure documentation as the company scales.

Administrative Support

Assist with onboarding new hires and loan officers (payroll setup, licensing forms, etc.).

Provide general administrative support to ensure smooth daily operations.

Coordinate with accounting and ownership on financial reporting and payroll-related expenses.

Maintain an organized compliance calendar to meet all deadlines.

Qualifications

  • 2–4 years of payroll or compliance experience (mortgage or financial industry preferred).
  • Proficient in QuickBooks Online Payroll (required).
  • Strong administrative skills and ability to handle multiple tasks.
  • English proficiency required; Spanish is a plus.
  • Understanding of basic accounting principles and payroll taxes.
  • Strong organizational skills and attention to detail.
  • Integrity and discretion when handling confidential financial information.
  • Comfortable working independently in a small, growing company.

Bonus Skills

Familiarity with NMLS systems and loan officer licensing requirements.

Knowledge of Dodd-Frank, RESPA, or TILA compliance.

Experience setting up payroll systems for new businesses.
