Title: Project Manager
Department: Projects Department
Reports To: Head of Business and Operations
Direct Reports: None
Location: Nairobi, Kenya
Company Overview
PYCS is a technology company specializing in software solutions for payments, digital lending, messaging platforms, and enterprise systems. We focus on delivering efficient, scalable, and reliable technology to help organizations meet their operational and business goals.
Job Overview
We're looking for a hands-on, structured Project Manager to lead the end-to-end delivery of our software projects across different product lines. You'll be in charge of turning business needs into clear project plans, coordinating teams, tracking progress, and ensuring work is delivered on time and up to standard.
You'll run sprint planning, manage timelines, drive ticket hygiene in Jira, and make sure blockers are flagged early. You'll also keep documentation up to date, whether it is project plans, meeting notes, requirements, and client communication.
This role needs someone who takes initiative, can think ahead, and is willing to dive deep into understanding our products. You should be able to work closely with both technical and business teams, translating requirements, aligning priorities, and keeping everyone in sync.
We're looking for someone who communicates clearly, follows through, gives and receives feedback well, and knows how to build trust. If you're able to stay organized in a fast-paced environment, handle multiple moving parts, and get things done without hand-holding, you'll thrive in this role.
Key Responsibilities
- Oversee assigned company projects, ensuring alignment with organizational goals and seamless integration across product lines.
- Manage the entire project lifecycle from customer requirements gathering to implementation and delivery.
- Define project scope, objectives, and deliverables in collaboration with stakeholders.
- Lead project kick-off activities, including internal meetings, creation of statements of work, and documentation of project plans.
- Take ownership of deeply understanding the products and services to translate business and client requirements into technically sound deliverables.
- Support pre-implementation analysis of client data and strategies for optimal application design.
- Supervise the creation of requirements/functional specifications and ensure alignment with business needs.
- Work closely with Engineering Leads to break down features into tasks, clarify technical dependencies, and ensure proper sprint estimation and resource allocation.
- Drive prioritization of work backlogs and oversee sprint planning, scheduling, and monitoring.
- Champion agile practices, fostering a culture of continuous improvement and innovation.
- Hold self and team accountable to delivery KPIs (on-time delivery, scope management, rework rate, sprint velocity).
- Ensure Jira boards reflect real-time project status, maintain hygiene across epics, stories, and bugs, and generate accurate sprint and project performance reports.
- Ensure sprints, tasks, and overall projects are closed on time and meet predefined performance benchmarks.
- Proactively identify delivery risks or misalignment before they escalate; flag early and propose mitigation plans.
- Proactively address delays or bottlenecks to maintain project timelines and deliverables.
- Act as a key escalation point to resolve issues, clarify expectations, and mitigate risks.
- Ensure strict adherence to client data security and regulatory requirements throughout the project.
- Communicate effectively with stakeholders to keep them informed about project progress, risks, and updates.
- Build and maintain strong relationships with customers, partners, and internal teams.
- Foster open, constructive communication with team members; give and receive feedback professionally to improve collaboration.
- Provide guidance and mentorship to team members, ensuring accountability and skill development.
- Demonstrate honesty and transparency in all engagements and commitments.
- Facilitate seamless transitions of completed projects to the support team for ongoing maintenance.
- Develop and maintain comprehensive project documentation, including project plans, status reports, meeting minutes, and technical specifications.
- Project delivery within scope and timeline
- Client satisfaction metrics
- Team performance and velocity
- Documentation quality
- Risk management effectiveness
Stakeholder Interactions
- Internal: Development teams, department heads
- External: Clients, technology partners
Requirements Qualifications
- Degree in Computer Science, Information Technology, Engineering, or a related field is preferred.
- Project management certification (e.g., PMP, CSM, PRINCE2) is an added advantage, not a must.
- Experience in payments or financial services is a strong advantage.
- 5+ years of experience in managing software or technical projects from planning to delivery.
- Proven experience working with cross-functional technical teams (e.g., developers, QA, support).
- Comfortable running Agile/Scrum ceremonies (daily stand ups, sprint planning, retrospectives).
- Familiarity with SDLC and working with engineering teams.
Required Skills
- Strong project management skills with a clear track record of delivering software or technical projects on time.
- Ability to coordinate cross-functional teams and manage dependencies across work streams.
- Proficient in using Jira for sprint tracking, backlog management, and reporting.
- Skilled in writing clear project documentation requirements, meeting notes, status updates, and plans.
- Strong communication skills for engaging both technical teams and non-technical stakeholders.
- Able to manage competing priorities, flag risks early, and push for resolution.
- Good understanding of Agile/Scrum practices and how to apply them in real-world team settings.
- Comfortable translating business needs into clear, actionable technical requirements.
- Able to give and receive feedback professionally, support team accountability, and foster collaboration.
- Strong attention to detail, time management, and follow-through.
- Integrity, accountability, and a strong sense of ownership in how they lead and deliver projects.
- Ability to adapt quickly to a fast-moving environment.
