About the Role:
The Executive Assistant will provide proactive administrative support, always exercising confidentiality and diplomacy to support the Regional Director. As the Executive Assistant you will contribute to various activities that optimize time efficiency including travel logistics, communication, coordination, diary management, and overall administrative tasks.
This is a part-time position expected to work 20 (FTE 50%) Hours per week, 3 days in the office per week, Monday to Friday.
Key Responsibilities:
- Calendar Management:
Efficiently manage the RD's calendar, including scheduling appointments, coordinating meetings & events, and ensuring optimal time allocation to limit hours of meetings per day. - Travel Coordination:
Arrange the RD's international travel, accommodations, visas and logistics for business trips, conferences, and events, ensuring a smooth travel experience. - Meeting Support:
Organize and prepare materials for meetings, including agendas, presentations, and minutes. Attend meetings, including helping organise the quarterly Supervisory Board and biweekly Senior Management Team, when necessary, taking notes, writing minutes and ensuring follow-up actions are tracked. - Document Preparation:
Assist in creating, editing, and formatting documents, presentations, reports, and spreadsheets using Microsoft Office and other relevant software. - Data Management:
Maintain and organize databases, files, and records, ensuring accurate and accessible information. - Confidentiality:
Handle sensitive and confidential information with discretion and maintain a high level of professionalism in all interactions. - Collaboration:
Collaborate closely with cross-functional teams and departments in multiple countries to facilitate effective communication and coordination on behalf of relevant RD matters. - Ad Hoc Tasks:
Undertake additional tasks and responsibilities as directed by the Regional Director.
Safeguarding:
- Implement programme decisions keeping the safety and dignity of programme participants/clients at the center, mitigate safeguarding risks and contribute to a safe working environment where staff are respected and feel confident to voice concerns without fear of retaliation.
- Receive mandatory training on the safeguarding policies and reporting channels and have access to policies.
- Participate in discussions on the safeguarding agenda in monthly meetings and actively voice concerns without fear.
- Report safeguarding incidents witnessed or experiences to the Safeguarding department. For known cases, maintain neutrality, be sensitive and non-judgemental to victims/survivors, and cooperate with organisational investigations providing accurate information as needed.
Academic Qualifications:
- Bachelor's Degree from reputed university.

- Technology Proficiency: Familiar with Google Workspace (Gmail, Calendar, Meet, Drive, Docs, Sheets, Slides), Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook) and basic IT skills
- Discretion and Confidentiality: Ability to handle sensitive information with the utmost discretion
Experience Requirements:
- Minimum of 5-7 years of work experience in a corporate environment and at least 2 years of work as an Executive Assistant or in a similar role
- Experience working either in Africa or with counterparts in Africa is desirable
