JobTitle: TeamCoordinator, Public Affairs & Communications Location: Rwanda, KenyaDuration: 1 Year PROFILEINTRODUCTION Our client, aninternational non -governmental organization seeks to bring on board a TeamCoordinator, Public Affairs & Communications who will be responsible for providingteam support to teams within the Public Affairs and Communications Department.The role partners with co -located teams across functions to provideadministrative support ROLES AND RESPONSIBILITIES Manage schedulingfor the senior team leader and the teams as needed including calendar meetingrequests.Lead scheduling forall activities in line with work plans. Plan, coordinate and ensure schedulesare followed and respected.Schedule meetingsand coordinate related logistics, such as room bookings, refreshments, anddocument preparation for all attendees.Manage agenda, takeminutes at meetings, and distribute as appropriate.Follow up on keyaction items for the functions, ensuring that the leaders are prepared formeetings and correspondence and work runs smoothly.Manage travel incoordination with the travel team and other office coordinators and teamassistants, including extensive global travel, accommodation reservations,ground transport, travel visas and immunizations.Prepare and submitexpense reports accurately and efficiently in line with organizationalpolicies.Compose routinecorrespondence with the ability to be proactive in identifying the need forwriting.Handle thedistribution of correspondence. Monitor email and act as appropriate. Ensureattention to accuracy and detail.Plan, organize andmaintain accurate documentation for the function including reports.Maintainorganization of the database, shared network drives and SharePoint sitesProvide support inbudget preparation and forecasting. Supporting Financial management processesin line with policies and processesProvidebackup to other team coordinators and executive assistants as required RequirementsMINIMUM REQUIREMENTSAND COMPETENCIESA college diploma orUniversity degree is required.Minimum yearsof experience in a Team Coordinator or Administrative Assistant role in afast -paced environment. Local experience preferred.Project and eventmanagement experience is an added advantage. Excellentprioritization and time management skills.Excellentinterpersonal skills, exhibiting grace and calmness under pressure.Strong communicationskills in English; written and spoken. The ability tocommunicate in French is a plus.Proficient in MSOffice applications (PowerPoint, Word, Excel, Office 365 and SharePoint).Detail -oriented witha demonstrated ability to produce high quality work consistently andeffectively.Can -do attitude andability to work independently with little direction or supervision.Ability tocoordinate and manage multiple projects.Flexible, adaptable,and able to execute a range of job duties and changing priorities.Proven excellence inverbal, written, and presentation skills with the ability to articulateinformation to a variety of constituents across cultures and to distill complexinformation and data into accessible conversation and written pieces.Possess professionalmaturity, sensitivity with different cultures, and impeccable integrity thatexemplify the Foundation's values.You have acommitment to Mastercard Foundation's values and vision.
