Job Title: Team CoordinatorLocation: NairobiKenya PROFILE INTRODUCTIONOur client, a leading internationalnon -governmental organization, is seeking to recruit a Team Coordinator.This role will be responsible for providinghigh -level executive and administrative support to the Director,Assurance and Enterprise Risk Management, and the ExecutiveDirector, Finance & Accounting, as well as to the FinanceLeadership Team (FLT). The Team Coordinator will play a key rolein enabling the effective delivery of the organization's ImpactStrategy by ensuring seamless coordination and support across teams.Working closely with co -located andcross -functional teams, the successful candidate will provide proactiveadministrative assistance, manage calendars, coordinate meetings, supportdocumentation, and contribute to the overall efficiency of the department. ROLES ANDRESPONSIBILITIES Manage scheduling forthe Executive Director, Finance & Accounting's FLTPlus the Director, Assurance & Enterprise Risks Management including calendar meeting requests Lead scheduling for allactivities in line with work plans. Plan, coordinate and ensure schedules arefollowed and respected.Schedule meetings andcoordinate related logistics, such as room bookings, refreshments, and documentpreparation for all attendees Manage agenda, take minutes atmeetings and distribute as appropriate Lead follow up of key action itemsfor the functional, ensuring that the ExecutiveDirector, Finance & Accounting is prepared for meetings and correspondence and work runs smoothly Manage travel incoordination with the travel team and office coordinator and team assistants,including extensive global travel, accommodation reservations, groundtransport, travel visas and immunizations Prepare and submitexpense reports accurately and efficiently in line with organizationalpolicies Compose routinecorrespondence with the ability to be proactive in identifying the need forwriting Liaise with Public Affairs & communications andcolleagues regarding functional communications Organize & manage,with support from Public Affairs & Communication, the function's events,team retreats, meetings etc.Handle the distributionof correspondence. Monitor email and act as appropriate. Ensure attention toaccuracy and detail Plan, organize andmaintain accurate documentation for the function including reports Maintain organization ofthe database, shared network drives and SharePoint sites Provide support inbudget preparation and forecasting. Supporting Financial management processesin line with policies and processes Provide backup to otherexecutive assistants as required RequirementsMINIMUM REQUIREMENTS AND COMPETENCIES Acollege diploma or University degree is required.Minimum 3 years ofexperience in an Administrative Assistant role in a fast -paced environment.Local experience preferred. Experiencein an Administrative Assistant role in a fast -paced environment. Localexperience preferred. Excellentprioritization, time management skills & follow through.Excellent Organizational skillsand able to manage multiple tasks in a fast -paced environmentExcellentinterpersonal skills, exhibiting grace under pressure. Strong communicationskills in English; written and spoken, Proficient inMS Office applications (PowerPoint, Word, Excel, Office 365 and SharePoint). Detail -oriented with ademonstrated ability to consistently and effectively produce high quality work. Able to workindependently with little direction or supervision and possess ability tocoordinate and manage multiple projects. High Integrityand able to work across various cultures
