ROLES AND RESPONSILBILITIES·       Manage complexglobal travel arrangements, including booking flights, accommodations, andground transport, and ensuring the required travel   documentation (visas,immunizations) is in place, in collaboration with the travel team and officecoordinators.·       Prepare and submitexpense reports for the executives, ensuring accuracy and compliance withorganizational policies and assisting with budget   preparation, forecasting, andfinancial management processes.·       Organize andmaintain accurate documentation related to the function, including reports andkey functional documents, and support operational   budgeting and forecasting.·       Compose routinecorrespondence, identify necessary communications, and collaborate with PublicAffairs & Communications teams to manage   internal and externalcommunications.·       Coordinate events,retreats, and meetings for the department in collaboration with the PublicAffairs & Communications team.·       Ensure effectivedistribution of correspondence across teams, monitor emails, and manage shareddatabases, network drives, and SharePoint sites   to ensure easy access andsecure storage of relevant documents.·       Provide backupsupport to other executive assistants as needed and contribute to teamprojects, key initiatives, and strategic projects, demonstrating flexibilityand responsiveness to emerging needs.​ Requirements MINIMUM REQUIREMENTS AND COMPETENCIES ​·       A college diplomaor University degree is required.·       Minimum 3 years ofexperience in an Administrative Assistant role in a fast -paced environment.Local experience preferred.·       Familiarity withmanaging scheduling and document management tools (e.g., Microsoft Office,SharePoint).·       Experience inorganizing and supporting team events.·       Excellentprioritization, time management skills & follow through.·       ExcellentOrganizational skills and able to manage multiple tasks in a fast -pacedenvironment·       Excellentinterpersonal skills, exhibiting grace under pressure.·       Strongcommunication skills in English; written and spoken,·       Proficient in MSOffice applications (PowerPoint, Word, Excel, Office 365 and SharePoint).·       detail -orientedwith a demonstrated ability to consistently and effectively produce highquality work.·       Able to workindependently with little direction or supervision and possess ability tocoordinate and manage multiple projects.·       High Integrity andable to work across various cultures·       Ability to handlesensitive information with professionalism and discretion.·       Proactivein identifying and addressing challenges that may arise in scheduling,logistics, and communication. ​
