Billing Executive

JOB PURPOSE – SUMMARY

The Billing Executive plays an integral role in the billing department for TV, Print, Radio, OOH and digital media, and production. They will also manage the processing of vendor invoices. The Billing Executive will act as the billing contact for all media and production billing for Kenya and all operating agencies under WPP Scangroup PLC across sub-Saharan Africa. The billing executive will also be responsible for commercial analysis and reporting of client contracts, pricing and billing.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

• Process regional media and production billing.
• Reconcile planned versus actual media and production budgets.
• Review monthly billing with client services and media planning team for all media projects.
• Work in conjunction with client services teams to maintain client consistency and open communication regarding billing process/status.
• Serve as the primary department liaison between finance, credit control team and Media departments.
• Ensure that suppliers deliver proper invoices within prescribed period (by 5th day of the following month).
• Ensure proof of performance and LPO is provided with invoice and is in prescribed format.
• Perform pricing analysis for client pitches.
• In-warding invoices into Adams system within 24 hours of receiving supplier invoice.
• Reconciling supplier statement on monthly basis and give a status for every invoice: - especially 90 days.
• Reconciling orders vs supplier invoices received.
• Timely Processing supplier invoices and submission to finance.
• Queries from suppliers to be resolved within 2 weeks.
• To ensure there is a No Due certificate from all major suppliers once a year.
• Reviewing and reconciling accrued media balances for SOX reporting.
• Ensure inter-company and inter-agency booking is done as per set timelines.
• Maintain and organize relevant reports and data files for all accounts payable team for payments to suppliers.
• Ensure proper documentation is shared with accounts payable team for onward payments to suppliers.
• Any other duties as assigned to you.

PROFESSIONAL, TECHNICAL SKILLS AND PREVIOUS EXPERIENCE REQUIRED

• Bachelor's degree in finance, accounting, or a related field/CPA an added advantage.
• Minimum of 2-4 years' work experience.
• Excellent verbal and written communication skills.
• Work experience in media and advertising industry is desirable.
• Efficiency in workflow processes.
• A strong sense of urgency.
• Close attention to detail.
• Careful organizational and time management skills.
• Ability to multi-task through multiple concurrent media and accounting tasks.
• Strong oral and written communication required for frequent communication with internal and external departments.
