HR Assistant & Office Administrator

Job Purpose

The HR Assistant and Office Administrator will provide support in day-to-day human resource functions and office management activities. This role ensures smooth administrative operations, assists in recruitment and employee relations processes, and helps maintain a positive, organized, and efficient workplace environment.

Key Responsibilities

(a) 
Human Resource Support

  • Assist in the recruitment process by posting job ads, scheduling interviews, and maintaining candidate records.
  • Support onboarding processes including preparation of induction materials and coordination of orientation sessions.
  • Maintain accurate employee records, both electronic and physical, ensuring confidentiality and compliance.
  • Assist in tracking attendance, leave, and performance appraisals.
  • Support implementation of HR policies and ensure staff awareness and compliance.
  • Assist in organizing staff training, welfare activities, and team-building sessions.
  • Help prepare HR reports, letters, and communication as required.

(b) 
Office Administration

  • Oversee day-to-day office operations to ensure a clean, safe, and efficient work environment.
  • Manage office supplies inventory and place orders as needed.
  • Handle correspondence, filing, and document management.
  • Coordinate logistics for meetings, workshops, and company events.
  • Support management with travel bookings and accommodation arrangements.
  • Laise with service providers (cleaning, maintenance, utilities, etc.) to ensure smooth operations.
  • Provide administrative support to departments assigned.

Qualifications and Skills

  • Bachelor's degree in Human Resource Management, Business Administration, or a related field.
  • At least 0-3 years of relevant experience (internship or attachment experience acceptable).
  • Basic knowledge of HR practices and Kenyan labor laws.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • High level of integrity, discretion, and confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and collaboratively in a fast-paced environment.
