About the Role:
We are seeking an organized and detail-oriented individual to join our team as an Office Operations Coordinator. As a key member of our administrative staff, you will be responsible for ensuring the smooth operation of our office.
Main Responsibilities:
Providing administrative support to ensure efficient operation of the office, including maintaining accurate records and filing systems.
Receiving orders from clients, making physical and system recordings, and relaying information to the factory for processing.
Accurate data entry and maintenance of POS systems, taking note of payments and debts.
Debt management, receiving/confirming payments, and preparing defaulters reports for presentation to the supervisor.
Maintaining accurate records of KRA stamps and managing their distribution.
Issuing ETR receipts for every purchase with KRA stamps.
Ensuring all deliveries are accompanied by invoices or receipts.
Proper filing and record-keeping of purchase invoices, receipts, and other documentation addressed to us.
Maintaining a well-groomed and clean appearance.
Reporting any client concerns or complaints immediately to the Managing Director.
Seeking new markets and clients at opportunities that present themselves to discuss potential business ventures.
Assisting the team in production processes when called upon to ensure smooth flow and avoid delays.
Maintaining accessible and organized supplier, customer, and vendor files.
Processing payments, reviewing expenditure, contracts, and administrative budgets, ensuring costs align with budgets and comply with regulations, and communicating budget variances.
Financial data input and reconciliations using accounting software, ensuring good maintenance and suggesting upgrades and module additions.
Contacting clients and sending reminders to ensure timely payments, administering and reconciling petty cash.
Overseeing Office Supplies:
Ordering inventory management, examining expenses submitted by employees, supervising administrative staff, distributing responsibilities, actively participating in tender preparation whenever required, and keeping government certifications up-to-date.
