Role Description
This is a full-time on-site role for an Office Administrator, located in Nairobi County, Kenya. The Office Administrator is the first point of contact for visitors, clients, and staff. The role holder is responsible for creating a professional and welcoming environment, managing front desk operations, and providing administrative support to ensure smooth day-to-day office functioning.
Core Responsibilities
The Office Administrator is responsible for maintaining an efficient, professional, and welcoming front office environment through three key areas:
- Front Office & Communication Management:
Manage the entire reception function, including greeting visitors, maintaining logs, and ensuring the area is presentable. Oversee all correspondence including screening phone calls, handling general office emails, and processing all incoming and outgoing mail and deliveries. - Administrative & Logistical Support:
Provide comprehensive support by scheduling appointments, managing internal meeting logistics, maintaining accurate records (e.g., call/visitor logs), and ensuring office supplies inventory is managed and replenished.
Qualifications
- Diploma or Certificate in Business Administration, Front Office Operations, or related field.
- Proven experience in administrative, or customer service role.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, Outlook) and phone systems.
- Proficiency with office equipment and day-to-day maintenance.
- Excellent communication and customer service skills.
- Ability to manage multiple tasks efficiently and independently
- Experience in providing administrative support in an office setting
