Job Description

The Ignation Group is seeking an experienced Administrative Coordinator to manage various administrative tasks, including financial management, human resources, and operations.

Key Responsibilities:
  • Financial Management:
  • Prepare and send invoices, and follow up to confirm delivery.
  • Collect debts.
  • Pay statutory obligations (NHIF, NSSF, PAYE, and VAT) on time.
  • Paying utility bills (telephone, electricity, security, water, and rent) on time.
  • Place orders from suppliers and make prompt payments.
  • Paying salaries and wages.
  • Reconcile bank/cash book/debtors/creditors.
  • Prepare cash flow, trial balance, balance, profit & loss, and budget.
  • Prepare petty cash and manage it.
  • Prepare fixed assets register and define depreciation and disposal policy.
  • Establish accounting filing system.
  • Reconcile petty cash.
Human Resource Functions:
  • Develop, implement, and maintain human resource policies, and monitor adherence.
  • Recruit, select, orient, place, perform management, train, classify jobs, evaluate jobs, and terminate employees.
  • Secure personnel insurance to minimize risks and liabilities.
  • Comply with labor laws, tax laws, and legislation.
  • Prepare monthly payroll and adjust salaries accordingly.
  • Maintain contract renewal schedules, performance appraisal schedules, and leave schedules.
Administration and Operations Functions:
  • Procure goods and services, receive, and dispatch goods.
  • Purchase and manage office supplies and equipment.
  • Manage inventory of company assets, propose new acquisitions, and maintain inventory register.
  • Maintain office equipment.
  • Renew business permits and compliance certificates.
